3K a year This position serves as a first point of contact including assistance in managing incoming inquiries and other day to day operations.
This position will liaise and maintain strong, effective communications with external and internal members and various programs and organizations.
This role requires exceptional communication and customer service skills in a fast-paced and high energy environment.
This is a full-time position working during normal hours of 8:
00 am to 5:
00 pm.
Some weekend and after hour work may be periodically required.

Responsibilities:
The Administrative Assistant is responsible for maintaining optimal office operations, supporting the Executive Team in all business activities.
They will assist the Executive Team with meeting management, record keeping and reporting, coordinating meetings, teleconferences, claims billing, management of the database and file share system, responding to general inquiries and forwarding inquires to various departments as appropriate.
The Administrative Assistant will also be responsible for office supplies, business cards and a range of items relating to office management duties, prepares and/or delivers a wide range of services as it relates to activities, meeting departmental standards of timelines, accuracy, quality, and other administrative duties as assigned.
Duties and Requirements:
Answers multi-line telephone system, takes accurate messages, and screens and directs telephone calls for management in a professional manner.
Processes incoming and outgoing mail on a daily basis by operating postage meter.
Composes, prepares and proofreads correspondence, office memos and reports on computer and maintains confidentiality when required.
Designs and implements forms for use within office by applying knowledge of software applications, and update as needed.
Creates and maintains proper response letters on computer for various incoming correspondence.
Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.
Provides administrative support for special projects to include research, compiling data and preparation of summary reports based on results.
Maintains an organized office calendar and schedules meetings and appointments as needed.
Completes travel arrangements to include accommodations, transportation and a prepared itinerary.
Maintains a petty cash fund with the proper documentation, makes change as needed and balances on a regular basis.
Verifies, calculate and processes payroll on a weekly basis.
Inventories and orders office supplies and equipment as directed.
Operates standard office equipment efficiently to include:
multi-line telephone, typewriter, computer with printer, photocopy machine, facsimile machine, calculator, dictaphone Performs other related duties as assigned.
Excellent written and oral communication skills, strong analytical and problem-solving skills, ability to work independently, and effective interpersonal skills.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Proficient with Microsoft Office Suite:
Outlook, Word, Excel, PowerPoint and Publisher or related software.
Strong work ethic, detail orientated and ability to work independently.
Excellent organizational skills and attention to detail.
Bilingual (English/Spanish) preferred.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
